Requesting workplace accommodations

A template letter, and the basics behind it

Before you send anything

In the United States, the Americans with Disabilities Act (ADA) requires many employers to engage in an "interactive process" and provide reasonable accommodations. You generally request a change at work, not permission.

The template letter

Dear [Manager / HR],

I'm writing to request a reasonable accommodation to help me perform my role effectively. I have a condition that affects [focus / organization / etc.]. The following adjustments would help:

  • [Accommodation 1]
  • [Accommodation 2]

I'm happy to discuss alternatives and to provide documentation through the appropriate process. Thank you for considering this.

Accommodations people commonly ask for

Written instructions and recaps after meetings
Noise-reducing setup, or a quieter space / headphones
Flexible start time or focused-work blocks
Deadline reminders or task breakdowns from a manager
Permission to record meetings you attend

Put the request in writing and keep a copy. A dated paper trail matters if you ever need to show you asked and how the employer responded.
